REGISTRATION TERMS AND CONDITIONS

Early registrations will be accepted until March 26, 2018 5:00 PM PT.

  • Should your registration remain unpaid by March 27, 2018: Early registrations will be upgraded to the Late registration fee.
  • New registrations from March 27, 2018 – June 13, 2018 will have the Late registration fee applied.
  • New registrations from June 14, 2018 & onsite will have the Onsite rate applied.

Payment conditions

All payments are to be made in CDN ($) upon receipt of the invoice. Please indicate the participant’s name and “GHS 2018” on all payments.

Full payment of all items is requested when registering (by credit card or by bank transfer). No confirmation or invitation letter will be sent until MCI Canada has received the payment.

After June 4, 2018, only payments by credit card will be accepted.

Registration and/or admittance to the Global Hepatitis Summit 2018 shall be limited solely to participants who are 18 years of age or older, due to current health and safety regulations and legislation in effect. Any registration by anyone who is under 18 is unauthorized and in violation of these Terms and Conditions and will automatically result in the forfeit of their registration. You hereby accept that identification is to be provided to Summit staff upon request. By registering to the Summit or entering the Summit you represent and warrant that you are 18 years of age or older, and that you agree to and to abide by all the Terms and Conditions of the Global Hepatitis Summit 2018.

As a registered attendee of the Global Hepatitis Summit 2018, you agree:

  • to grant permission for GHS 2018 and MCI to use your likeness in a photograph or video in all its publications and presentations, including website entries, without payment or any other consideration.
  • to authorize GHS 2018 and MCI to edit, alter, copy, exhibit, publish or distribute the photograph or video for purposes of publicizing GHS ‘s programs or for any other lawful purpose.
  • to waive the right to inspect or approve the finished product, including written or electronic copy, wherein your likeness appears.
  • that these materials will become the property of GHS 2018 and MCI.

 

CANCELLATION AND MODIFICATIONS CONDITIONS

Cancellation & Refund Policy

  • Cancellations received up to and including 5:00 PM PT, March 1, 2018 will receive a refund minus a CDN $100 Cancellation Fee and CDN $50 administration fee plus tax.
  • Cancellations received between 5:00 PM PT, March 1, 2018 –  5:00 PM PT May 1, 2018 will receive a 50% refund minus CDN $50 administration fee plus tax. 
  • Cancellations received after 5:00 PM PT, May 1, 2018 and no-shows are non-refundable.

All cancellations must be submitted in writing to the Summit Secretariat Email: ghs2018-registration@mci-group.com

 
Changes / Modifications / Name Substitution

  • An alternate attendee name may be substituted if you are unable to attend the Summit. Changes can be made online by logging into your account. Substitutions are subject to a CDN $50.00 plus tax administrative fee if you require assistance from the registration provider. Neither GHS 2018 nor MCI Canada will transfer any fee or payment balances.
  • Any changes requiring assistance from the registration provider is subject to a CDN $50.00 plus tax administrative fee.

Re-Verification Or Reprocessing Of A Credit Card

  • Credit card payments that require reprocessing for any reason will incur a $50.00 plus tax CDN administrative fee.

If a badge is lost or forgotten, an administrative fee of $50.00 CDN plus tax will be charged for the reprint of the badge after identity verification (passport, driving license or other recognized identification documents).

Refunds: All confirmed refunds will be made after the summit by bank transfer or credit card per your pre-payment method.

HOTEL CANCELLATION AND MODIFICATIONS CONDITIONS

Cancellation

  • One night Room and Tax is non-refundable.

Modifications

Any enquiries or requests for additional information, modifications or cancellations to room reservations should be addressed to MCI in writing (fax, letter or email). Please do not contact the hotel directly until after May 18, 2018.

GENERAL INFORMATION ABOUT HOTEL BOOKING:

Reservations are made on a first come, first served basis. Availability of rooms in each category is limited. Rates apply for standard room; other room types like deluxe room, junior suite, suite, etc. are available upon request. All rates are in Canadian Dollars per room, per night and do not include taxes which are subject to fluctuation.

Only guaranteed reservations will be accepted: to guarantee your reservation a non-refundable deposit covering the first night is required, either by bank transfer or by credit card (deposits will be deducted from the final hotel bill when paid by the participant at the hotel).

After the hotel cut-off date of May 18, 2018, you will need to contact the hotel directly for any new reservations and changes. If you need additional dates for your hotel reservation out of the congress dates, please indicate your requirements online and you will receive a confirmation once your dates have been confirmed.

If you are sharing a room, please make sure that only one person makes the reservation. Any duplicate reservations that require cancellation will be charged the 1 (one) night non-refundable cancellation fee. 

Large group reservations (more than 9 participants) will be handled by MCI Canada with a separate contract. ghs2018-housing@mci-group.com

DATA PRIVACY:

All information requested is for use in compliance with applicable international privacy protection legislation. By completing this form, I request that GHS 2018 use this data to keep me informed of the International Symposium on Viral Hepatitis and Liver Disease activities.

INSURANCE AND LIABILITY:

It is recommended that participants obtain adequate coverage for travel, health and accident insurance before they depart from their residences. GHS 2018 and MCI Canada as organizers will not accept responsibility for health episodes, personal injuries, or loss of, or damage to, private property belonging to the congress participants and accompanying persons.

GHS 2018, MCI and Metro Toronto Convention Centre are not responsible for either the partial or total non-execution of the contract in the event of accident, natural disaster (either threatened or actual) in war, curtailment or interruption of transportation facilities, threats or acts of terrorism, governmental travel or terrorism advisory, Strikes, Lock out, civil disturbance, the issue of a Travel Warning by the World Health Organization or any other cause beyond the parties' control which prevents the venue from accommodating the clients of MCI for the event or if for the same reasons the event is cancelled by MCI. No expense for travel delays or additional costs incurred as a result of the above conditions will be made by MCI or GHS 2018.

The Organisers may at their entire discretion repay the delegate fee or Service Charge paid by the Delegate or Exhibitor, or part thereof, but shall be under no obligation to repay the whole or part of such Delegate fee or Service Charge, and shall be under no liability to the Delegate or Exhibitor in respect of any actions, claims, losses (including consequential losses), costs or expenses whatsoever which may be brought against or suffered or incurred by the Delegate or Exhibitor, as the result of the happening of any such event.

FORCE MAJEURE:

MCI and the Hotel are not responsible for either the partial or total non-execution of the contract in the event of accident, an act caused by a third party, such as Acts of God including, without limitation, credible threats of natural disaster in the geographic vicinity of the Hotel, war, curtailment or interruption of transportation facilities, threats or acts of terrorism or similar acts, governmental travel advisory, a governmental elevation of the terrorism alert level, civil disturbance, the issue of a Travel Warning by the World Health Organization or any other cause  comparable events or disaster beyond the parties' control which prevents the Hotel from accommodating the clients of MCI for the event or if for the same reasons the event is cancelled by MCI.

CLOSURE OF A HOTEL:

Should above mentioned offered hotel(s) close between the date the contract was signed and the start of the event, MCI will do its utmost to offer alternative options to the client. If the client confirms such an alternative option, MCI will not be responsible for any difference in rates. Should the client decline the option and book in another hotel outside of MCI’s block, pre-payments made by the client for the closing hotel(s) would be reimbursed by MCI.

  • An invoice to be settled upon receipt will be issued upon confirmation. This invoice will act as a contract, and once issued, the below payment and cancellation conditions will apply.

  • All payments should be made before the beginning of the summit; otherwise, badges will not be given to the group leader or participant(s). Badges will be not given to the participant(s) in the event that the final invoice has not been settled before the summit.

Large Group registration procedure (10 + delegates): $150.00 plus tax Administration fee will apply.

Upon receipt of your payment, we will send you an email with an internet link giving you direct and personalized access to our group registration tools. 

In your personalized area, you will be able to enter the personal details of each of the participants of your group.

As liquidated damages, cancellation charges are calculated on projected charges (per hotel, per night, subject to all applicable taxes). In the event of total or partial cancellation:

  • One night Room and Tax is non-refundable after booking.
  • Full payment is required by April 20, 2018 and is non-refundable as of April 21, 2018.

Modifications

Substitutions are subject to a CDN $50.00 plus tax administrative fee if you require assistance from the registration provider. DATA MANAGEMENT:

Names of all participants (registration and/or accommodation) must be submitted and reservations assigned online before June 4, 2018.

The Group Leader hereby commits to manage group registrations and hotel reservations using the tools proposed by the official registration bureau. The B-Com portal will be used to respect relevant registration and, if applicable, accommodation deadlines. Access to this tool will be provided upon full payment of deposits required.

Contact information is to be entered in the system including the full coordinates of the participant of the summit. No generic agency coordinates will be accepted if reservations are handled by a third party or on the behalf of a sponsor.

Reservations for registration and/or housing will then be assigned and updated through the B-Com portal and managed by the Group Leader or its internal representative. 

MCI, as the Official Registration Bureau will not be responsible for entering contacts’ coordinates nor assigning services on behalf of the entity hereby engaged in this contract.

Should the Group Leader or the entity engaged in the present contract choose not to proceed with the proposed online tools, MCI will charge a handling fee of $50.00 plus tac (CDN).- per participant, provided that the full coordinates are supplied.

  • Any changes requiring assistance from the GHS 2018 Summit Secretariat are subject to a $50.00 CAD administrative fee. Changes can be made online at no additional charge by accessing your registration using your Username and Password created at the start of the registration process.
  • An alternate name may be substituted if you are unable to attend the Summit.

RESPONSIBILITY 

By registering for GHS 2018 you have agreed to have your contact information shared with current and future organizers of GHS. The participant acknowledges that he/she has no right to lodge damage claims against the organisers should the holding of the Summit be hindered or prevented by unexpected political, economic or environmental events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate program changes. With registration, the participant accepts this proviso.

LIABILITY 

For reasons beyond its control the Global Hepatitis Summit and/or its Agents, MCI Group Canada Inc. and/or its agents have the right to immediately alter or cancel the Summit or any of the arrangements, plans, timetables, sessions or any other items directly or indirectly relating to GHS 2018. Participants shall not be entitled to return of fees or any compensation for damages that may result from any change, alteration or cancellation. Furthermore, with the exception of any wilful damage or gross negligence committed by GHS 2018 and/or its agents, MCI Group Canada Inc., neither GHS nor its agents shall at any time be liable for any direct or indirect damage suffered by the participants including consequential and immaterial damage, caused by failure to comply with any provision of this document. It is the duty of all participants to ensure that they possess adequate travel and health insurance. The Global Hepatitis Summit and/or its Agents, MCI Group Canada Inc. and/or its agents will not be liable for any damages that occur while attending GHS 2018 Toronto.

INSURANCE

The registration fees do not include insurance of participants against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.

Please be aware starting 15 March 2016, visa-exempt foreign nationals who fly to or transit through Canada will need an Electronic Travel Authorization (eTA).

Exceptions include U.S. citizens and travellers with a valid visa.
